Trust & Security

Your security and trust come first

Giving any tool access to Microsoft 365 is a big decision.

Here’s everything you need to make it with confidence, from how we protect your data to exactly what we can and can’t see.

ISO/IEC 27001 certified

(01)

We meet internationally recognised standards for protecting data, with full external review by an independent auditor every year.

(02)

Our framework rests on three principles: protecting the confidentiality, integrity and availability of information; identifying and controlling risks to it; and monitoring and improving continually.

(03)

Customer data is classified as confidential, the highest tier in our system, so access is restricted and controlled.

Where your data is stored

Hosting

All customer data is hosted on Google Cloud in the Netherlands. No data is transferred outside the EEA.

Encryption & Access

All data is encrypted at rest, and access to internal systems is limited to a small group of authorised individuals.

AI Processing

Presence's AI runs in Google Cloud's Vertex AI in Europe. Behavioural analysis never leaves Google's European data centres, and nothing is sent to a third-party AI service.

UK Customers

Transfers from the UK to the Netherlands are covered by UK adequacy regulations, with SCCs included in our DPA as standard.

What we access in Microsoft

Permission

What it’s for

Microsoft Permissions & Purposes

User.Read

Lets people sign in to Pistachio with their Microsoft account

User.Read.All

Reads profile data for licensed users only (the pistachio-standard group), to personalise simulations

Directory.Read.All

Reads basic organisation and group info

Mail.ReadWrite

Delivers phishing simulations into mailboxes

On Mail.ReadWrite we only use the 'create mail in a folder' endpoint, which writes email, it doesn't read it. Microsoft bundles read and write into one scope; the permission that fits what we do is MailWrite. Pistachio does not read your emails, and has no code that allows it to.

Presence reads activity data and audit logs, the same logs your IT admin could review manually.

Hosting

Document names and locations, email subject lines and attachment names, login events, and activity patterns across Microsoft.

Encryption & Access

Email body content, document content, personal messages, or on-premise file servers.

No individual's logs are reviewed by a human unless the model has first flagged potential malicious behaviour, which is less invasive than the usual alternative of IT staff browsing colleagues' logs manually.

Compliance & Privacy

Data handling & retention

(01)

We hold data for licensed users only, not everyone in your tenant.

(02)

Practice: retained while you're a customer, plus 12 months so you can pull historical compliance reports before disposal.

(03)

Presence: audit log data retained for 90 days. If an alert is raised about an account, the related data is kept and available to you as a CSV for as long as you're a customer.

(04)

Personal data is deleted or de-identified once it no longer has a business use.

Presence is designed with privacy in mind

(01)

Lawful basis is legitimate interest: mitigating cyber risk, balanced against employee privacy.

(02)

Presence does not track productivity, location or device activity.

(03)

No automated decisions with legal consequences. A person on your side always confirms and decides how to proceed.

(04)

We help you tell your employees Presence is in use. Our legal team can help draft that communication at no cost.

FAQs

Have a question?

Yes. Pistachio is ISO/IEC 27001 certified, and our compliance is subject to full external audit by an independent auditor every year. During evaluation we can provide our ISO/IEC 27001 certificate, Statement of Applicability, latest audit reports, Data Processing Agreement, and IT security assessment documentation.

All customer data is hosted in Europe on Google Cloud infrastructure in the Netherlands, and no data is transferred outside the EEA. Data is encrypted at rest, and internal access is limited to a small group of authorised individuals. For Presence, the AI models run inside Google Cloud's Vertex AI and data never leaves Google's European data centres. For UK customers, transfers from the UK to the Netherlands are lawful under the UK's adequacy regulations, covered by the standard DPA (which includes Standard Contractual Clauses).

‍

Yes. Pistachio acts as a data processor on behalf of you as the controller, processing personal data solely to deliver the product. The lawful basis is legitimate interest, balancing your interest in mitigating cyber risk against how invasive the processing is for employees. Practice only processes work-related behavioural data, not sensitive personal information. Full details are in our Privacy Notice and Data Processing Agreement.

No. Pistachio does not read email content or document content, and has no capability to do so. For Practice, we only write simulations into mailboxes. For Presence, we analyse the same audit logs your IT admin could review manually (file names and locations, email subject lines and attachment names, login events, activity patterns), never the content itself.

For Practice, data is kept for as long as you use the product and for 12 months afterwards, so you can download historical reports (for example for year-end audit) before it is securely disposed of. For Presence, audit log data is retained for 60 days; if an alert is raised about an employee, the relevant data is stored and made available to you as a CSV for as long as you use the service.

Pistachio is designed to run automatically with no configuration on your side, and the permissions exist to make that possible. Pistachio requires four permissions from your Microsoft Entra tenant, granted via the OAuth 2.0 client credentials flow: User.Read lets users log in with their Microsoft accounts and gives access to basic profile information such as name. User.Read.All lets Pistachio read profile data (name, job title, department, location, email, language, photo) for licensed users only, to personalise simulations and surface relevant information to admins. Directory.Read.All lets Pistachio read group data and basic organisational information, such as your organisation's name and preferred language. Mail.ReadWrite is required to inject phishing simulations into mailboxes. Microsoft groups read and write permissions together under this single permission; the more precise permission for what we do would be Mail.Write, and we are actively lobbying Microsoft to split them. The specific endpoint we use ("Create mail in mail folder") only writes emails, it does not read them. Pistachio does not read your emails and has no code that would allow it to. Full detail is published at pistachioapp.com/permissions.
